Executive Committee

The responsibilities of the Executive Committee can be divided into three main subjects: the programme of activities, the general project monitoring & Intellectual Property Rights and knowledge management.

Activities
The committee shall prepare the programme of activities, consolidate progress reports to be submitted to the EC representatives, establish the project deliverables and propose the budget as well as the allocation of funding between the partners. Global project monitoring will be summarised by the Executive Committee (operational management done by the Management team). They will propose changes to the project or subproject if necessary, propose exclusion of a partner and they will implement the competitive selection procedure for new contractors. Regarding IPR, they shall propose the plan for use and dissemination for approval, decide on terms and conditions of access rights to knowledge or pre-existing know-how. Ethical aspects, mostly managed between partners directly co-operating will be supervised on a larger scale by the Executive Committee as well as the gender equal opportunity and ethical issues.

Members
The Committee composed of the Co-ordinator, as head of the Committee, and the subproject leaders.

Organisation
The committee will meet at two to four times a year. The Co-ordinator sets the agenda of the meetings, monitors the implementation by the Subproject committees of the decisions taken and he makes sure that actions plans are followed. The executive Committee, through the Coordinator will be responsible for the general official reporting to the European Commission.

Management (operational) Team

The Management Team belongs to the executive level.

Activities
The Management team represents an operational body, as appendix of the Executive Committee that is responsible of close follow-up and monitoring of the daily tasks, such as administrative and financial management, overall Qcitytechnical & Quality management, knowledge management, exploitation management and stakeholder management. All of these are under the responsibility of the Executive Committee but are executed by the Management Team who will make regular reports that will be consolidated. Management Team will assist the Executive Committee in implementing common communication & reporting procedures (Quality Assurance Plan) to be used by the consortium and within the various Modules. The Team will be involved as well in setting competitive selection procedure for new contractors and ensuring the secretariat of all consortium bodies. The objective is to provide the necessary support (technical, administrative, financial, contractual, communication…) to the operational teams so that to reach an appropriate performance of the work intended within each of the Subprojects. The financial and administrative responsibilities will be held by the Coordinator.

Members
The co-ordinator will thus chair the Executive Committee and the Management Team, enabling a perfect co-operation at the executive level, and facilitating the communication with the partners and the European Commission. The Team will be also composed of the technical leaders of each sub-project.
